Reunion Meeting Minutes
The 40th Reunion Committee Planning Meeting - June 25, 2008
The second planning meeting for the 40th reunion was held on June 25, 2008 at June Kannigiser-Leaman home. The meeting was attended by June Kannigiser-Leaman, Walt Leaman (SHS 66), Neena Mohnani, Karen Pinder-Sisson, Bonnie Rogers and Tom Griffey.
Based on the location, the age of the hotel and the pricing for food and rooms the decision was made to set up a meeting with the Hilton Fort Lauderdale Beach Resort. Bonnie will make an appointment for the committee to meet with the Catering Manager and tour the hotel. Karen volunteered for any free weekends offered by the hotel.
The plan is to have a Hospitality Suite that will be open from Friday afternoon to Sunday morning. The suite will be stocked with snacks and drinks. We need to check with the hotel to see if they will comp the room we will use for the Hospitality Suite.
The committee discussed entertainment for Friday and Saturday nights. At pass reunions we had a Jukebox or DJ on Friday night and a live band on Saturday night. Based on the price of food and rooms we decided to cut back on entertainment to help keep the cost of the down. We decided to contact the DJ used by the Class of 66, 67 and 68 for there reunions. All three reunion committee has been happy with the DJ and June Walt and Tom heard the DJ and feel he will be a good choice for the reunion. Tom will contact the DJ as soon as a date is set for the reunion.
The decision was also made to use e-mail and the web site as much as is possible to provide classmates with information about the reunion. This will also help reduce the cost of the reunion by saving on the cost of using the US mail. June will work on the coming up with the information for the first e-mail. Neena will look in to a service that will make it easier to send e-mail classmates. Bonnie will look in to additional features that can be used in MSWord mail merge.
We will be sending out a US mailing at a later date because we only have street address for 217 of the classmates. We are hoping to reduce this number by contacting as many classmates as we can to get e-mail address.
The committee reviewed the information sheet that we will be using to request information for the 40th Reunion Directory. Tom will update the sheet based on input from the committee. The sheet will be available on the web site. It will also be included in PDF format in the e-mailing and a hard copy will be sent as part of the US mailing.
We discussed the Staffing of the Hospitality Suite and check in table. We will need help from classmate or we may need to pay for help.
The committee also set the price for adverting in the Reunion Book.
The next meeting will start at 10:00 AM on July 19, 2008. This meeting will be held at the Hilton Fort Lauderdale Beach Resort.
